Keep Legacy Room Phones on All-Optical Network: No Mandatory Phone Replacement for Hotel Voice Retrofit

When discussing hotel telephone system upgrades, contractors often say: “We cannot touch the phone system.” Throwing away functional legacy handsets wastes investment, rewiring telephone lines is costly, and old PBX switches are still in service. Hotels keep paying annual maintenance fees while faults keep recurring. Once the manufacturer discontinues the relevant circuit boards, spare parts become extremely hard to source.

Retrofit does not require a blanket replacement. Legacy telephone handsets can be retained — the key lies in how to integrate them properly.

1. Three Options for Existing Phones

  1. Full replacement with IP phones: Delivers consistent user experience, yet the hardware cost for hundreds of guest rooms is substantial. All serviceable analogue phones are discarded, and each room requires reworking.
  2. Full retention of legacy system: The old PBX and its circuit boards are gradually phased out. Repairs become unavailable, maintenance costs rise year by year, and cable ageing is inevitable. The telephone system turns into outdated hardware that no one dares to modify.
  3. Hybrid retrofitting: Deploy optical APs in guest rooms. The multi-service optical-electrical AP comes with integrated RJ11 telephone ports to connect traditional analogue handsets.

This third option is the preferred choice for most hotels. The decision hinges on three simple checks: remaining service life of handsets, availability of maintenance services, and whether the original management platform is still required. Most hotel operators can reach a clear conclusion after this assessment.

2. Voice Services Carried over All-Optical Network — No New Telephone Cabling Needed

AINOPOL’s Connectivity & Security integrated solution embeds IPPBX voice capabilities directly into the Dream Gateway. Voice traffic runs natively over the hotel’s all-optical network, eliminating dedicated telephone cabling for guest rooms.

It supports all standard hotel voice features: operator console, IVR auto-attendant, voicemail, wake-up call service and more. Internal extension calls between guest rooms or between rooms and the front desk travel over the private network without consuming external trunk resources. Extension numbers can be modified on the management platform, so room adjustments no longer require patch cord rewiring in the equipment room.

For mid-to-large hotels, one Dream Gateway simultaneously carries voice, data, Wi-Fi and security functions. Separate purchases of voice switches and VOIP gateways are no longer required. There are also long-term maintenance benefits: faults on traditional PBX systems require on-site vendor technicians. After voice services migrate to the gateway, most faults can be located and resolved remotely from the cloud platform, removing dedicated on-site maintenance trips for telephone failures.

3. Built-in Voice Security Against Toll Fraud

Once telephone systems connect to the IP network, VOIP toll fraud becomes a major risk. Attackers who compromise voice devices can make bulk calls to expensive international numbers and premium-rate services, racking up huge phone bills quickly. There have also been real cases where unauthorised VOIP devices were installed in weak-current shafts to make scam calls.

Three layers of protection are deployed:

  • Dedicated isolated voice network: Voice and data traffic run on separate network planes to reduce exposed public ports.
  • Restricted extension permissions: Unnecessary outbound call privileges are disabled via whitelists.
  • Abnormal call detection: High-frequency outbound calls and off-hours calls are automatically blocked.

These three safeguards operate silently in normal conditions and are proven by real incident cases. Fraud losses from toll calls can easily reach tens of thousands of yuan, and hotels usually discover the problem only after receiving the bill. Preventive controls are far more practical than recovering losses afterwards.

Legacy phone renovation is not a simple yes-or-no choice between replacement and retention. By embedding voice functions into the gateway, reusing original handsets and enabling security protection in one deployment, three objectives are achieved at the same time.

FAQ

Q: Will voice traffic compete with internet traffic for bandwidth?
A: No. Voice services are independently processed inside the gateway with QoS priority guarantee, so call quality will not degrade during peak internet usage.

Q: Will telephone services be interrupted during the upgrade?
A: Cutover on the voice gateway side can be scheduled during low-traffic periods and usually finishes within minutes. Coordinate with the front desk in advance for the maintenance window.

Q: Is this retrofit feasible for hotels in normal operation?
A: Yes. The voice gateway cutover has minimal impact, and legacy room phones are plug-and-play. The exact schedule depends on the on-site maintenance window
